Privacy Policy

How Baker Media collects, uses and protects personal data on this website. Written in plain English, and describing what this site actually does - not a generic template.

1. Who we are

Baker Media Ltd. ("Baker Media", "we", "us") is a technology and creative studio based at 20 South Quay, Newcastle West, Co. Limerick, V42 C422, Ireland. We build bespoke business software, websites and visual content.

For the purposes of the General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018, Baker Media Ltd. is the data controller for personal data collected through this website.

2. What we collect

We collect two kinds of information through this website.

Information you give us

This site has no general contact form - the contact links open your own email client or phone. We do not receive anything until you choose to send it.

The one exception is our care plan signup form, on the care plans page. If you complete it, we collect: your name, email address, phone number, business name, website address, the plan you selected, and any message you write.

Information collected automatically

  • Analytics data - pages viewed, approximate location (country/region level), device and browser type, how you arrived at the site, and how long you stay. See section 4.
  • Server and security data - our web host records standard access logs. When you submit the care plan form, your IP address is processed briefly to apply a rate limit (a maximum of five submissions in ten minutes) that stops automated abuse.
  • Anti-spam checks - the signup form includes a hidden field and a timing check. These detect bots and are not used to profile you.

3. Why we use it, and our lawful basis

  • To respond to your enquiry and to provide a quote or service. Lawful basis: steps taken at your request prior to entering a contract, and legitimate interests in responding to business enquiries.
  • To send you a confirmation that we received your care plan enquiry. Lawful basis: legitimate interests.
  • To understand how the site is used so we can improve it. Lawful basis: legitimate interests in maintaining and improving our website.
  • To protect the site from spam and abuse. Lawful basis: legitimate interests in the security of our systems.

We do not sell personal data, and we do not use it for automated decision-making or profiling.

4. Analytics and cookies

This website uses Google Analytics 4 (measurement ID G-01S3RQCZJ3) to understand how visitors use the site. Google Analytics sets cookies on your device and processes data including your IP address. Google Analytics 4 anonymises IP addresses by default and does not log or store them in full.

We use this only in aggregate - to see which pages are read, which case studies get attention, and where visitors come from. We do not attempt to identify individual visitors.

We do not run advertising, remarketing or tracking pixels on this site.

How to opt out. You can block or delete cookies through your browser settings, or install Google's Analytics Opt-out Browser Add-on. Blocking these cookies will not affect your ability to use the site.

5. Third-party services on this site

Some parts of this site load content or services from other companies. When that happens, your browser contacts them directly and they may receive your IP address and basic device information. Each operates under its own privacy policy.

  • Google Analytics (Google Ireland Ltd.) - website analytics, on every page.
  • Google Fonts (Google Ireland Ltd.) - typefaces, loaded on every page.
  • Cloudflare (Cloudflare, Inc.) - content delivery, performance and security for this domain. Cloudflare may set a cookie to identify trusted traffic and block malicious requests.
  • Vimeo (Vimeo.com, Inc.) - the background video on our case studies page.
  • Behold (Behold.so) - the live Instagram feed shown on our Con Brouder case study page.
  • Brevo (Sendinblue SAS) - handles our care plan signups and the related emails.
  • Microsoft 365 (Microsoft Ireland Operations Ltd.) - our email is hosted here, so anything you email us is stored there.

Our web hosting is provided on servers operated on our behalf within the EU.

6. Who we share your information with

We share personal data only with the service providers listed above, and only so far as they need it to provide their service to us. We may also disclose information where we are required to by law.

Where a provider transfers data outside the European Economic Area, that transfer is covered by the European Commission's Standard Contractual Clauses or an adequacy decision.

7. How long we keep it

  • Enquiries and care plan signups - kept for as long as we are in contact with you about the work, and for up to 24 months afterwards so we can pick up the conversation. After that, deleted on request or on review.
  • Client records - where you become a client, we keep records for the period required by Irish tax and company law (currently six years).
  • Analytics data - retained by Google for 14 months at most.
  • Anti-spam rate-limit data - the IP-based counter expires after ten minutes.

8. Your rights

Under GDPR you have the right to:

  • Ask what personal data we hold about you, and get a copy of it
  • Have inaccurate data corrected
  • Have your data erased, where we have no ongoing lawful reason to keep it
  • Restrict or object to how we process it, including objecting to processing based on legitimate interests
  • Receive your data in a portable format
  • Withdraw consent at any time, where we relied on consent

If you are not satisfied with our response, you can complain to the Irish Data Protection Commission at dataprotection.ie, 21 Fitzwilliam Square South, Dublin 2, D02 RD28.

9. Security

This site is served over HTTPS. Credentials for the services we use are stored outside the public web directory and are not present in the website's code. Access to enquiry data is limited to Baker Media personnel who need it.

No system is perfectly secure, but we take the protection of your data seriously - it is, after all, what we do for our clients.

10. Children

This is a business-to-business website and is not directed at children. We do not knowingly collect personal data from anyone under 16.

11. Changes to this policy

We may update this policy as the site or our services change. The "last updated" date at the top will always show the current version. Material changes will be made clear on this page.
